Legal assistant to corporate paralegals

As a Legal Assistant to Corporate Paralegals, you will play a vital role in our firm by providing top-tier support to our attorneys.

Your main responsibilities:

  • Assist the paralegals with their annual maintenance (preparation and filing of the annual resolutions, prepare and file Quebec annual updating declarations and Federal annual returns)
  • Assist the paralegals with closing binders
  • Conduct simple searches at the Quebec enterprise registrar and Corporations Canada
  • Obtain various documents from the public registries, including but not limited to certificate of attestation and compliance
  • Handle administrative tasks such as drafting correspondence, printing, scanning of various documents and filing of documents in the physical minute books
  • Maintain the electronic version and physical minute books
  • Ensure a smooth administrative organization of the paralegals in the team
  • Communicate with different parties to ensure all necessary documents have been provided (accountants, lawyers, government authorities)
  • Provide backup coverage in the absence of other legal assistants to corporate paralegals
  • Perform other related duties

Qualifications and Competencies:

  • 2-5 years of experience as a legal assistant, preferably in Corporate Law
  • Diploma in legal secretarial studies (an asset)
  • Fluency in written and spoken French and English (the person will be required to serve and interact with an 85% English-speaking clientele)
  • Proficiency in Microsoft 365 Suite and Enact (an asset)
  • Team spirit and a positive attitude
  • Strong client-service skills and the ability to work in a fast-paced environment
  • Ability to take initiative, work independently and prioritize work;
  • Superb attention to detail, as well as organizational and multitasking skills.
